LobbyLink ("we", "us", or "our") operates the website at lobbylink.net (the "Service"). This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data. By using LobbyLink you agree to the practices described in this policy.

2. Information We Collect

Account information. When you register, we collect your email address, username, and a hashed password. You may optionally provide a display name, avatar, and biography.

Server listing data. When you add a server, we collect the information you submit: server name, IP address, description, website URL, Discord link, and any other fields you choose to fill in. This information is displayed publicly on your listing.

Usage data. We collect standard server logs including your IP address, browser type, pages visited, and timestamps. This data is used to operate and improve the Service and is not linked to your account for advertising purposes.

Analytics. We use Google Analytics to understand how visitors use LobbyLink. Google Analytics collects anonymised data such as page views, session duration, and general geographic region. You can opt out by declining cookies on the consent banner or by installing the Google Analytics opt-out browser add-on.

3. How We Use Your Information

  • To create and manage your account and server listings.
  • To verify server ownership through the verification process.
  • To send transactional emails (email verification, password reset, vote milestones). We do not send unsolicited marketing email.
  • To display player counts and uptime statistics gathered by our monitoring agents.
  • To detect and prevent fraud, vote manipulation, and abuse.
  • To improve the Service through aggregated, anonymised analytics.

4. Data Sharing

We do not sell your personal data. We do not share your personal data with third parties for advertising purposes.

We may share data with service providers who help us operate the platform (infrastructure, email delivery, analytics). These providers are contractually required to handle data in accordance with applicable law and are prohibited from using it for their own purposes.

5. Cookies & Local Storage

LobbyLink uses browser localStorage (not cookies) to store your authentication token and user preferences such as theme and date format. This data never leaves your device except as part of authenticated API requests.

Google Analytics sets cookies to distinguish unique visitors and sessions. These are only activated if you accept the cookie consent banner.

6. Data Retention

  • Account data is retained while your account is active.
  • Server ping history is retained for 90 days and then purged.
  • Deleted accounts are fully purged from our systems within 30 days of deletion.
  • Server listings deleted by the owner are removed immediately.

7. Your Rights (GDPR & UK GDPR)

If you are located in the European Economic Area or the United Kingdom, you have the following rights regarding your personal data:

  • Access — request a copy of the data we hold about you.
  • Rectification — request correction of inaccurate data.
  • Erasure — request deletion of your account and associated personal data.
  • Portability — request an export of your data in a machine-readable format.
  • Objection — object to processing based on legitimate interests.

8. Security

We implement industry-standard security measures including encrypted data transmission (HTTPS), hashed passwords, and authentication tokens with expiry. No system is perfectly secure; if you discover a vulnerability, please report it responsibly to security@lobbylink.net.

9. Children

LobbyLink is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users by email of material changes. Continued use of the Service after changes constitutes acceptance of the updated policy.
